How to Share Workspace With Others via Email?
On this page
Sharing a workspace lets you add other WDesignKit users as members so they can access the private templates, widgets, and snippets stored in it, without giving them your login.
What It Does
Adding a member by email invites another registered WDesignKit user into your workspace, with a role that controls whether they can only view and use its content, or also edit and manage it.
Why It Matters
Without sharing, a workspace is visible only to the account that created it. Sharing is what turns a personal workspace into a real team or client collaboration space, letting a designer, developer, or client all work from the same set of templates and widgets.
What You Get
Every member you add shows up in the workspace’s member list with an assigned role, and gains access to that workspace’s templates and widgets under Templates > Shared With Me, both on the website and in the plugin.
Benefits
Skipped as a distinct section: the concrete benefit (giving a team shared access without sharing a login) is already covered under Why It Matters and What You Get above.
Capabilities
- Add members by email address, one at a time or several in a row.
- Assign each member a Subscriber (view and download only) or Editor (can also delete templates and manage members) role.
- Optionally send an invitation email to the new member.
- Remove a member from the workspace at any time.
- Members see shared content from either the WDesignKit website or the plugin’s Shared With Me page.
How It Works
Adding a member only works if the email you enter already belongs to a registered WDesignKit account, WDesignKit does not create an account for someone on your behalf. Once added, the member’s role decides what they can do: a Subscriber can browse and download workspace content, while an Editor can additionally delete templates and manage other members.
How to Use It
Add a Member
Members can only be added from the WDesignKit web app, not from the plugin.
- Log in to your account and go to Workspace.
- Click the workspace you want to add members to.
- On the workspace page, click Manage Member.
- In the Manage Workspace popup, enable Want to add a new member?
- Enter the member’s email address (the one they used to register on WDesignKit) and click Add. Repeat to add more than one member at once.
- Choose a role for the member: Subscriber or Editor.
- Optionally check Send Invitation Email and add a description.
- Click Invite to add the member to the workspace.
Once added, go to Templates > Shared With Me (on the website or in the plugin) to see everything shared with you, and everything you have shared with others.
Remove a Member
- Log in to your account and go to Workspace.
- Click the workspace you want to remove a member from.
- Click Manage Member.
- Click the delete icon beside the member’s email, then confirm by clicking Yes.
Use Cases
- A designer adds a client’s developer as an Editor so they can pull the finished templates directly, without emailing files back and forth.
- An agency owner adds a junior team member as a Subscriber so they can use approved templates without being able to delete anything.
Limitations
- The person you add must already have a WDesignKit account registered under that exact email, sharing does not work for someone who has not signed up yet.
- Adding and removing members is only available from the WDesignKit web app, not from the WordPress plugin.
- Unresolved discrepancy found this session: the separate “Add Templates, Widgets, and Snippets in Workspace” doc (id 727) describes up to five member roles (Owner, Admin, Editor, Subscriber, Viewer), while this doc and its own existing screen-recording only show two (Subscriber, Editor). Neither could be independently re-verified against the live web app this session (no test-account login or local rig was available), so this is disclosed rather than guessed at, flagged for the operator to confirm against the current Manage Member popup.
Troubleshooting
No FluentSupport ticket specifically about WDesignKit workspace sharing was found for this doc; the items below are derived from the documented workflow itself, not from a support ticket.
- “Add” fails or the member never receives access. Double-check the email is the exact address the other person registered on WDesignKit with, a typo or a different personal email will silently fail to match an account.
- Member added but reports they cannot see anything. Confirm their assigned role, a Subscriber can only view and download, they cannot edit or delete, so they may simply be looking for permissions they were not given.
- Invitation email never arrived. Confirm the Send Invitation Email checkbox was actually checked before clicking Invite, if it was not, the member was still added but no email was sent.
